Information and purposes

We use your name, email, billing address, order details and communications to take orders, deliver programmes by email, arrange coaching, answer enquiries and manage refunds. This processing is necessary to enter into and perform our contract. Checkout is provided by SureCart and payments by Stripe. Payment providers process payment credentials; we receive transaction and payment-status information rather than storing your full card number or security code.

We use necessary technical, security and transaction records to maintain the website, prevent fraud, handle disputes and protect our business and customers (legitimate interests), and keep records required by accounting, tax and other legal obligations. We balance legitimate interests against your rights.

Relevant fitness information may be needed to tailor coaching. Health information requires additional protection: we will seek separate explicit consent before collecting or using health information for this purpose, explain its use and provide a way to withdraw consent. Do not submit medical records or sensitive health details through checkout. Withdrawing consent does not make earlier lawful processing unlawful, but may limit our ability to provide suitably tailored coaching.

Recipients

Data is shared as necessary with SureCart, Stripe, Automattic/Jetpack for website statistics where enabled and permitted, our website hosting and email service providers, coaches involved in providing your service, and professional advisers or authorities when required. These parties may act as processors or, for their own legal and fraud-prevention purposes, independent controllers. There is no IMPERIUM FITNESS app. We do not sell personal information. Optional marketing requires the permission required by law and can be stopped at any time.

International processing

Service providers may process information outside the UK, including in the United States. Where UK data protection law requires safeguards, international transfers must rely on an applicable adequacy decision or appropriate contractual safeguards and additional protections where needed. Contact us for information about the recipients and safeguards relevant to your data.

Retention and security

We keep information only as long as needed for the purpose for which it was collected, including providing coaching, resolving complaints and complying with legal record-keeping requirements. Retention depends on the type of record, the customer relationship, applicable limitation periods and legal obligations. Sensitive coaching information should not be retained simply because transaction records must be kept longer. We use access controls and appropriate technical and organisational measures; no online system is completely risk-free.

Your rights

Subject to applicable conditions, you may request access, correction, erasure, restriction, portability, or object to processing based on legitimate interests. You may withdraw consent and object to direct marketing at any time. Contact us using the details above; we may need proportionate information to verify your identity. We respond within the time required by applicable law, normally one month for UK data-rights requests.

You may complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint/, or to an authority available to you under applicable law. Applicable US state privacy rights are not excluded by this notice.
